Job Overview:

The Personal Assistant (PA) to the COO will provide comprehensive administrative and organizational support to ensure the smooth functioning of the COO’s office. This role involves managing schedules, coordinating meetings, handling communication, and assisting with the COO’s day-to-day operations. The ideal candidate should possess excellent multitasking skills, attention to detail, and the ability to maintain confidentiality.


Key Responsibilities:

1. Administrative Support

  • Manage and maintain the COO’s calendar, schedule meetings, and appointments.
  • Organize internal and external meetings, including setting agendas, taking minutes, and following up on action items.
  • Handle travel arrangements, including booking flights, and accommodation, and preparing itineraries.

2. Communication Management

  • Act as the first point of contact for the COO, managing correspondence (emails, calls, messages) and responding as appropriate.
  • Draft, review, and distribute communications on behalf of the COO.
  • Liaise with internal departments, clients, and stakeholders on behalf of the COO.

3. Project Assistance

  • Assist the COO with key projects by providing research, documentation, and presentation materials.
  • Coordinate project timelines, and deliverables, and ensure deadlines are met.

4. Confidentiality & Professionalism

  • Handle sensitive and confidential information with the highest level of discretion.
  • Ensure all documents are properly filed and maintained securely.

5. Task Coordination

  • Prepare reports, presentations, and briefs for the COO as required.
  • Assist in organizing company events, meetings, and conferences.
  • Coordinate with other departments and team members to ensure smooth operational support for the COO.

6. General Support

  • Perform any ad-hoc tasks as requested by the COO.
  • Anticipate the COO’s needs and proactively manage upcoming requirements.
